Office and Business Manager – GAP Connections, Knoxville, TN

Position Summary

GAP Connections is looking for an experienced professional to help manage our office and business needs. This position would also assist in various programs and projects led by other staff including tasks related to the GAPC Certification Program. The ideal candidate would have experience in data management and bookkeeping. Applicant should have strong organizational and communication skills, and be willing to take on any task to maintain smooth operations and to meet project deadlines. Persons applying must be able to work proactively and independently, while also setting the tone for a strong office work ethic.

Responsibility Highlights

  • Assisting in the management of member and vendor relationships
  • Assisting members in the utilization of GAPC services or in the participation of the GAPC Certification Program.
  • Compilation and dissemination of reports for GAPC member companies and stakeholders
  • Procurement and maintenance of GAPC equipment, supplies and training materials
  • Assisting the Executive Director in accounting/bookkeeping functions
  • Establishing and promoting best office practices and guidelines.
  • Organizing periodic team or corporate events.
  • Occasional onsite assistance at meetings.

Qualifications

  • Minimum of B.S. Degree or 5 years of applicable job experience
  • Proven office management experience, and clear understanding of office manager responsibilities.
  • Strong working knowledge of Microsoft Office (Outlook, Word, Excel), QuickBooks or other accounting/bookkeeping software.
  • Experience with office equipment (computers, printers).
  • Willingness to participate in continuing education opportunities to learn skills needed by a growing company
  • Candidate must be able to work independently and be able to carry out coordination responsibilities with little direction
  • Accomplished and demonstrated professional communication skills both orally and in writing  
  • Excellent time management skills.
  • Able to multi-task and problem solve.
  • Attention to detail, and initiative to proactively suggest ideas
  • Have or be able to obtain a U.S. driver’s license

Office Assistant – GAP Connections, Knoxville, TN

Position Summary

GAP Connections is looking for a motivated and organized office assistant for our Knoxville office and help ensure high levels of organizational effectiveness, operating efficiency, and communication within the office.

Applicant should have strong organizational and communication skills, and be willing to take on any task to maintain smooth day-to-day operations. Persons applying must be able to work proactively and independently, while also setting the tone for a strong office work ethic.

This position will be an hourly half time position (20 hours per week). The position will be located at the GAP Connections home office in Knoxville, Tennessee.

Responsibility Highlights

·         Office/storage organization and appearance.

·         Front door reception and general visitor support

·         Office maintenance and arranging necessary repairs

·         Incoming and outgoing mail

·         Answering phones

·         Ordering supplies

·         Running errands

·         Equipment maintenance

·         Assistance in the procurement and maintenance of GAPC equipment, supplies and training materials

·         Office related clerical functions as needed

·         Occasional onsite assistance at meetings

Qualifications

  • Candidate must be able to work independently and be able to carry out coordination responsibilities with little direction

  • Experience with a variety of office software (email, spreadsheets, databases).
